Jenny Forbes of Organic 0800 numbers explains how Organic Voicemail to Email and other 0800 number extra features can help organise your office better as well as help the environment.

The Voicemail to Email feature allows your customers to leave a message after hearing a pre-recorded message from you, as with a standard voicemail. However, once someone has left you a message, it is then automatically emailed as a recording to your email address. This means that you can then either keep a copy of it in a folder of voicemails for reference if someone says they left you a voicemail message, or if it is from a particular client for whom you do a lot of work then you can store it in the computer file you have for them, so that it is kept with emails from them and other documents.
You can also use other special features to ensure that as much work as possible relating to your clients is stored in the same place on your computer, thus reducing the amount of paper you use and thus helping to protect the environment.
Call Recording is one such useful extra feature. This allows all the calls you receive to be recorded, and once the call is over a recording of the call is sent straight to your email inbox. This means that you don’t have to scribble down notes during the call, which are then either put in a folder never to be found again, or end up meaning nothing and thus get thrown away. Call Recording means you have an accurate and full account of the entire conversation saved on your computer with all other work relating to that client, without having to use a single sheet of paper.
The other useful extra feature in this regard is Organic Fax to Email. This allows you to receive faxes without actually having a fax machine. People send you a fax as usual, which is converted to a PDF and sent directly to your email inbox. Thus you don’t have to leave a fax machine switched on constantly wasting electricity and you don’t have to print the fax out if you don’t want to, thus saving on paper, ink and toner. It therefore means that you only print out the pages that you want to print out, or even better you don’t print out any at all but save the faxes with the call recordings, voicemails and emails which are all stored on your computer because of the features above. All of these features combined go one step further towards creating that elusive paperless office.
